Service Privacy Notice

ten24 Media Inc. Last updated: September 29, 2026

Who we are

ten24 Media Inc. is a Canadian company. We provide marketing services to local businesses, under our GrowKit brand and under the brands of partner agencies. We send review requests, manage Google Business Profiles, publish posts and photos, and handle calls and messages for the businesses we serve.

This notice explains how we handle information about:

  • customers of the businesses we serve, including people we ask for a review;
  • people who post a public review of a business we manage;
  • people who call or text a phone number we manage for a business;
  • people who appear in photos or videos a business sends us;
  • staff of the businesses we serve who use our tools.

Our own websites have a separate policy at 1024media.com/privacy/.

Our role

  • The business decides who we contact, approves what we send and publish, and controls its relationship with you. For how the business itself uses your information, please contact the business.
  • We provide the service for the business, on its instructions.
  • We’re also responsible for how we handle your information: the providers we use, the messages we send, the records we keep to show we followed the rules, and keeping it all secure.
  • This notice doesn’t mean you’ve agreed to receive messages. Each business needs its own permission to contact you.
  • We don’t sell personal information, and we don’t use a business’s customers for our own marketing or advertising.

Review requests

How your details reach us

When a job is finished, the business sends us your details. It might upload a file, forward a receipt, fill in a form, connect its customer system to ours, or ask us through our staff app.

What we receive

Your first name, email address, mobile number, the date the job was finished, the business’s job and customer numbers, the name of the staff member who did the work, and labels the business uses to sort its jobs. The business decides which of these it sends.

What we keep

  • Your contact details, with a separate record for each business.
  • The job date, the business’s reference and where the record came from.
  • Whether we asked you for a review, when, how, and which wording we used.
  • A copy of each message as it was sent.
  • Whether each message was delivered.
  • A note if you or the business told us you’ve already left a review.
  • Your opt-out, if you make one.

We never use a rating or opinion to decide who is asked. Every customer who qualifies gets the same request. A business may try two versions of its wording; which one you get is random.

Checking your email address

Before we send, we check that your address is correctly formed, that it can receive email, and whether it looks like a common typo.

The review link

Each message has a short link to the business’s Google review page. Everyone gets the same page. When you tap the link, we record the time, the web address, the details your browser shares about itself, your network’s name and number, your country, and how long after sending you tapped. This tells us whether a person or an automatic email scanner opened it, stops the reminder, and lets us count taps for the business. We don’t store your IP address, and our link service sets no cookies. Once you’re on Google, Google’s privacy policy applies.

Reminders

If you don’t tap the link, you may get one reminder about 3 days later. That’s the last message about that job.

“How did it go?”

Some businesses first ask how your visit went, with an optional comment. The Google review button is shown to everyone, whatever you answer, and you can skip the question. Your answer goes to the business. A low score alerts the business so it can follow up with you. It never changes whether or how you’re asked for a review.

Sharing a photo

Some businesses invite you to upload a photo of the finished work. It’s optional. The business can use it in its own posts or on its Google profile only if you tick the box allowing that. We remove location data from every photo, and you can ask for a photo to be taken down.

Emails

Some emails show your first name on the image at the top. Messages to recipients in Canada say that ten24 Media Inc. sent them on the business’s behalf.

Text messages

  • Some businesses send review requests by text: one request and at most one reminder for each job. Message and data rates may apply.
  • Reply STOP to stop texts from that business, or HELP for help.
  • Texts go through our messaging provider (United States), using an account we manage for the business. The provider’s support staff in India may be able to see them.
  • To send a text, the provider needs a contact record for you in the business’s account. If you’re already there, we use your existing record and don’t change it. If not, we add your mobile number and first name.
  • If the business uses that account as its own customer system, your record belongs to the business and is kept under the business’s privacy policy.
  • If the account is used only for our review requests, we remove your record from it 30 days after the last message. The provider can still restore a removed record for 60 days, and keeps backup copies for a period it doesn’t state.
  • The provider’s contract with us allows it to use message data to run and improve its own service.
  • We share your mobile number with the providers that deliver our texts, only so they can deliver them.
  • No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Opting out

  • Every email has a “Stop review requests from [business]” link, and supports one-click unsubscribe in email apps that offer it. You can stop texts by replying STOP.
  • Opening the unsubscribe page doesn’t unsubscribe you; pressing the button does. This stops email security scanners from unsubscribing you by mistake.
  • Your opt-out takes effect right away and stops that business’s review requests to you.
  • To stop every message we send for any business, email us at hello@1024media.com and we’ll do it.
  • If you reply to an email asking to stop, the business is asked to pass it on, and we’ll honour it. The link is the fastest way.
  • We keep a record of your opt-out even if you ask us to delete your other information, so we never contact you again for that business. Our messaging provider also keeps its own record of a STOP.

People who review a business we manage

  • When you post a public Google review of a business we manage, we receive your public name, review, rating and date, through Google and our publishing provider.
  • We use them to alert the business, prepare a public reply for the business to approve, and report on its reviews. Replies may be drafted with AI, and a person approves each one before it’s posted.
  • We don’t try to work out which customer wrote a review.

People in photos and videos

  • Businesses send us photos, videos and voice notes from their work. These sometimes show customers, vehicles or homes.
  • Before anything is published, we remove location data, and we avoid showing faces, licence plates, documents and exact addresses. Published posts name a neighbourhood at most.
  • Voice and video may be transcribed with AI.
  • We keep the originals while the business uses our service.
  • To ask for something to be removed, contact the business or us.

People who call or text a number we manage

  • Some businesses use phone numbers we manage through our messaging provider. When you call or text one, the provider records your number, the time and length of the call, and any messages.
  • If a call is recorded, you’ll be told at the start, along with why: usually so the business can follow up accurately, and to train staff. If you’d rather not be recorded, say so, or contact the business another way.
  • These records are kept in the business’s account and belong to the business.

Staff of the businesses we serve

  • If you use our tools for your employer, we keep your name, email address, role, the locations you can act for, your sign-in links, and the decisions you make, such as approving a post.
  • If you send photos or notes through our app, we record that you sent them.
  • We keep this while your employer uses our service, and remove your access when your employer asks.

How we use AI

  • We may use AI to draft posts and review replies and to transcribe voice and video. A person approves anything before it’s published.
  • We use AI through a provider that sends requests only to AI services in the United States that don’t keep or learn from our requests.
  • We don’t send contact details or review request records to AI providers.
  • We don’t use your information to train AI.

Information stored outside your province or Canada

Our main database is in Ontario, so information about people in other provinces, including Quebec, leaves their province. Our providers also store or process information in the United States, India, the Czech Republic and Germany. Information held in another country is subject to that country’s laws, and its courts, police or national security agencies may be able to access it with a lawful order. To see our policies on providers outside Canada, or to ask about them, please contact our Privacy Officer.

Records in a business’s messaging accountUnder the business’s policy (see “Text messages”)

We keep contact details for 2 years after your last job because we don’t send review requests about a job after that. We keep copies of messages for 3 years so we can show what was sent and that opt-outs were honoured, and only use them for that.

Opt-out records

We keep the full record of an opt-out for 3 years. After that, we keep only a coded version of your email address or phone number, for as long as we send messages for that business. The code isn’t a readable address, but we can check an address against it, which is how we make sure we don’t contact you again. It’s still personal information, and we use it only for that.

Backups

Our backups are replaced on a regular schedule. If we ever restore one, we apply all deletions and opt-outs again before using it.

When a business stops using our service

The business has 30 days to download its information, including its opt-out list. We then delete its customer data, except message records still inside their 3-year period. Deleting our copy doesn’t delete copies the business or its own providers keep.

Your rights

  • Access and correction. Email us and we’ll tell you what we hold about you, free of charge, and correct anything that’s wrong.
  • Deletion. We’ll remove what we hold from active use, except your opt-out record, so we don’t contact you again, and message records still inside their 3-year period, with your address or number replaced by the code described above. Copies can remain in backups for a short time, and our messaging provider can restore a removed record for 60 days. Neither is used for anything else.
  • Records the business keeps, including in its own messaging account: we’ll pass your request to the business, which decides.
  • Help with a message. You don’t need an account with us. Email us with the business’s name and the number or address the message came from.
  • Complaints. If we can’t resolve your concern, you can contact the Office of the Privacy Commissioner of Canada at priv.gc.ca.

Changes to this notice

If we change how we handle information, we’ll update this page and the date at the top. We won’t use your information for a new purpose that needs your permission without asking first.
